One signature across Outlook

1. Update the CYRMARA website

If you are deploying the package: extract the ZIP, then upload the whole CYRMARA_Outlook_Installer folder as a new Production deployment in the existing Cloudflare Pages project. The uploaded folder must have index.html at its root.

Keep the existing project and website address. Once this page shows Installer version 5, continue below. Updating the website alone does not enable automatic insertion in Outlook.

2. Install once in Microsoft 365

For Eduardo or whoever administers his Microsoft 365 account. The administrator installs the add-in for Eduardo; he does not upload the folder separately into each Outlook app.

Download Microsoft 365 setup file

1. Sign in to the Microsoft 365 admin center with an administrator account.
2. Open Settings → Integrated apps → Upload custom apps.
3. Select Office Add-in as the app type, then upload CYRMARA-Outlook.xml downloaded above.
4. Assign it to Eduardo only, review the requested permission and finish deployment.
5. If CYRMARA Signature was already deployed by the administrator, update that existing app with this file and accept the updated permissions instead of creating another app. This package keeps the existing app ID.
6. Allow time for Microsoft 365 to deliver the add-in. Restart Outlook on each device and use a new test message.

If only the older custom add-in was installed through Outlook’s “My add-ins” dialog, that does not replace this administrator deployment. If it conflicts with the managed installation, remove that older custom entry after saving any open work, then restart Outlook.

Permission: the add-in can read the current draft to check its signature and replace the draft’s signature. It does not send email. Privacy and removal

3. Check each of Eduardo’s apps

Use updated Outlook apps, the same Microsoft 365 account and an internet connection. These steps follow the administrator installation above.

Existing saved signatures: first confirm that automatic insertion works. If an old saved default also appears, keep a copy of it and turn off its default use for this account:

• Mac: Outlook → Settings → Signatures. Choose the CYRMARA account and set the defaults for new messages and replies/forwards to None.
• New Windows / web: Settings → Accounts → Signatures. Turn off the old signature’s automatic use for new messages and replies/forwards.
• Classic Windows: File → Options → Mail → Signatures. Set the CYRMARA account’s new-message and reply/forward defaults to (none).
• iPhone: Outlook → Settings → Mail → Signature. Use Per Account Signature if needed; save a copy, then clear only the old CYRMARA signature.

The add-in replaces Outlook’s recognised signature section. It does not remove signatures manually pasted elsewhere in a message.

4. Test the received email

Send one new email and one reply from each app to a test recipient. Check the received messages in Outlook, Apple Mail and Gmail where available.

• Only one logo is visible in the new signature.
• The name and full email address fit on a small phone.
• Phone, email and website links open correctly.
• Text and logo remain legible in light and dark mode.
• The older quoted email is preserved in replies.

Mobile and light/dark appearance: the signature includes a flexible logo, protected contact space and custom mobile/light/dark rules. The receiving app decides which rules it supports. Eduardo’s device theme does not select the recipient’s version.

If Outlook removes the required rules during insertion, the add-in tries the one-logo version and shows a notice. That version keeps the compact layout but does not include our custom light/dark logo switch. A received test is required before treating the setup as complete.
